How to coordinate mobile aircraft detailing with an airport or FBO

An owner’s permission and airport access are separate questions. Plan the host contact, work area, vendor review and handover before an aircraft detail.

Can a mobile detailer work wherever the aircraft is parked?

Do not assume so. The owner can request the cleaning, but the airport, FBO or hangar may have separate requirements for access, vendors and the place where work occurs. DuPage publishes an airport code and minimum standards; Chicago Executive publishes rules that address aircraft-cleaning areas. Confirm the current rules with the responsible host rather than treating a map pin or a provider’s coverage page as permission. [1][2]

For a Chicago-area request, the first useful details are the actual airport code, FBO or hangar, proposed service and available ground time. A passenger’s destination in Chicago is not enough to identify whether the aircraft is at PWK, DPA, LOT or GYY. The airport-area guides on this site help organize that conversation without claiming approval at any field.

Identify the three people who may need to agree

First, identify the person who can approve the aircraft work and its cost. Second, identify the host who controls the work area and provider access. Third, identify the operator representative who will release and receive the aircraft. One person may hold more than one role, but do not assume the person requesting a quote can grant every permission.

Ask the host what documentation or advance review is required for the proposed scope. Obtain the current requirements directly; another detailer’s credentials, a general insurance description or a prior job at a different airport does not answer that question. VentureWash does not claim an existing airport or FBO approval through this guide.

Turn a parking location into a proposed work area

Describe whether work is intended inside a hangar or outside, what surfaces will be cleaned and which methods are being considered. Ask the host about water, power, drainage, wastewater and restrictions on work in shared spaces. A place where an aircraft can park is not automatically a place where every cleaning activity is permitted.

Keep the discussion practical: where will the provider meet the host, when will access be available, and who should be called if the arrangement changes? Share sensitive entry instructions directly with the responsible people rather than placing gate credentials in a general inquiry form. The host should direct any movement of the aircraft; this article provides no ramp-driving or aircraft-moving instructions.

Define a work window and a change plan

Record earliest aircraft release, latest handover and departure as separate times. Include the date and time zone so an arrival, road journey and flight schedule are not accidentally compared on different clocks. A passenger departure is not the deadline for the last wipe: the operator may need the aircraft back earlier.

Agree what happens if arrival is delayed, the assigned hangar changes or weather makes the proposed area unsuitable. Prioritize the requested work before that happens. Exterior appearance, cabin presentation and carpet care may require different methods and time; a shorter window should trigger a scope discussion rather than an unsupported promise.

What a useful confirmation contains

Before accepting an appointment, the written confirmation should identify the aircraft, airport, host contact, reviewed services, exclusions, access arrangement and handover. It should also explain any unresolved item that prevents confirmation. This is a coordination checklist, not a substitute for airport rules, aircraft instructions or maintenance authorization.

If a provider cannot verify a required condition, leaving that item open is more useful than describing the booking as ready. Submit the inquiry with the information you have and mark uncertain details clearly. A responsible quote can then separate what is proposed from what has actually been agreed.
